The most forgiving of the common limits

500 KB turns up everywhere — job application portals, insurance claims, client uploads, content management systems, support ticket attachments. It is also, unlike the 100 KB exam-form limit, a genuinely comfortable budget. Most documents reach it without visible degradation.

Why your file was so large to begin with

A PDF that needs compressing to 500 KB is usually large for one of three reasons, and knowing which one helps:

  • It was built from phone photos. Each modern phone photo is 4–8 MB, so five of them make a 30 MB PDF. This compresses beautifully — the vast majority of that data is detail nobody will ever look at.
  • It was scanned at very high DPI. Office scanners often default to 600 DPI, which is three times what a document needs to be perfectly readable. Also compresses well.
  • It contains high-resolution graphics or photographs in an otherwise text-based document — a report with charts and images. These compress well too, though you may notice softening in the graphics before you notice it in the text.
Going the other way is often easier. If your PDF was built from photos and you still have the originals, compress the images to around 150 KB each and rebuild the PDF. Compressing once rather than twice always looks better than re-compressing a finished PDF.

Email attachment limits

If you are compressing for email specifically, 500 KB is far below what you need — Gmail and Outlook both allow around 25 MB. If a message is bouncing, the cause is more often the recipient's server, which may cap attachments at 5 or 10 MB, or a corporate filter. Compressing to 1 or 2 MB is usually plenty and keeps noticeably better quality than 500 KB. The 1 MB target is the better choice for email.

No. Compression works by turning each page into an image, so text becomes pixels. That is fine for submitting a form, where a human or a scanner reads the document either way, but keep your original if you need a searchable copy.
Does it work on scanned documents?
That is exactly what it is best at. A scan is already a picture, so re-encoding it loses almost nothing visible while cutting the file dramatically. Text-based PDFs compress well too, but lose their selectable text.
